Job Summary:

This position’s primary responsibilities are to support management providing financial, administrative and clerical support to the organization. Their role is to complete payments and control expenses by receiving payments, plus processing, verifying and reconciling invoices, order supplies. Highlighting the day-to-day management of all payment cycle activities in a timely and efficient manner.

Experience:

3-5 years of office administration support

Previous A/P experience is preferred

Certification/Licensure:

None Required  

Education:

High School Diploma or equivalent

Job Duties Include:  

  • Keeping track of all payments and expenditures, including purchase orders, invoices, statements, etc.
  • Assist with clerical type duties including but not limited to: typing, filing, setting up for meetings, ordering and stocking supplies, creating reports, collecting data as necessary.  Maintaining cleanliness and professional appearance of Executive Office, organize lunches as requested.
  • Collect, open and distribute mail, statements, invoices accordingly; coordinate interoffice mail
  • Coordinate, review and approval of AP, entering into accounting software for payment and get checks signed.  Mail clinic refund checks.  Collect and enter all cash deposit slips.  Collect, enter and distribute all employee mileage and expense reports.  Manage Staples account for end users.  Track Pitney Bowes postage refills, lease agreements and invoices.
  • Collate, mail and file AP, maintain two active years of AP files.  Do any research requested by other managers.
  • Collect all Care Credit receipts, run NextGen reports and post to spreadsheet.  Collect all credit card receipts from all clinics and optical shops and file.


Qualifications:  

  • Extraordinary Customer Service and Team Member Relations – REQUIRED!
  • 3-5 years of office administration support
  • Previous A/P experience is preferred 
  • General knowledge of practice management software
  • Proficient in computer software programs (Excel spreadsheets, Word, PowerPoint)
